As an installer of uninterruptible power supply (UPS) systems across the UK and Europe, failsafe health and safety procedures executed by a fully trained workforce is critical to Carter Sullivan operations.
In 2018, the company decided it needed to find a better way to produce its Risk Assessment Method Statements (RAMS) and manage the training and certifications of its staff.
“Creating RAMS was a time-consuming process. It involved a lot of cutting and pasting which would lead to lots of errors and rework,” recalls Nathan Simpson, QHSE Manager at Carter Sullivan. “Our training records were very manual, too. I was trying to manage everything on Excel spreadsheets, which were a nightmare to maintain.”
Carter Sullivan began digitising RAMS with HandsHQ in 2018.
“HandsHQ has enabled us to digitise and streamline our RAMS process, from initial creation to final review. We use it every day. The way we can draw from the existing content library, and create our own content is fantastic, as we’ve been able to match it to the needs of our business. We can now create compliant and great-looking RAMS in very little time,” says Nathan Simpson.
“ Our engineers can see we are actively investing in health and safety, and they like the added bonus that it helps to streamline their workload!”
“Customers are particularly impressed when they see our RAMS. We get lots of comments about how good our RAMS look and how professional they are.”
The introduction of HandsHQ’s RAMS software has strengthened the company’s health and safety culture, Nathan says; “Our engineers can see we are actively investing in health and safety, and they like the added bonus that it helps to streamline their workload! We can deliver RAMS promptly via email, and they can read and sign them digitally. That’s great too, because we and our auditors can easily see they have read and understood them.”
Alongside HandsHQ’s RAMS software, Carter Sullivan uses HandsHQ’s Training Register to manage staff training and certification; before HandsHQ, he was using a complicated, and often confusing Excel spreadsheet.
Training Register allows us to streamline our training admin, but more importantly, it’s given us the confidence to know we’ve fulfilled training requirements for every team member. The way the system displays records is so clear, which means it’s really straightforward to identify and quickly resolve missing or expired training.”
“I like the automated reminder function the best,” says Nathan. “It makes my job so much easier!”
“ When we had our ISO 9001, 14001 and 45001 audits, the auditor was particularly impressed by how we manage our training competencies in the Training Register.”
Nathan concludes; “Before HandsHQ, so much of our time was drained in time-consuming, manual processes. Since HandsHQ, we’ve managed to drastically reduce the time we spend not only creating RAMS, but also in reworking them, when our old process of cutting and pasting inevitably led to errors which we had to fix. “Our training records were very manual, too. I was trying to manage everything on Excel spreadsheets, which were a nightmare to maintain.”
“When we had our ISO 9001, 14001 and 45001 audits, the auditor was particularly impressed by how we manage our training competencies in the Training Register,” Nathan recalls. “They were really impressed with the systems because they allow us to take proactive action, before anything becomes a problem.”
Nathan concludes; “HandsHQ products make my day to day job so much easier, ”Nathan says. “The team is great, they’re always very responsive whenever we have a query. I’d definitely recommend HandsHQ to other businesses!”
